Rostering Adelaide’s Mad March: Fringe, WOMADelaide, and Cup weekend

Adelaide’s late-summer calendar still punches above its weight. Adelaide Fringe runs for weeks, WOMADelaide lands on the Adelaide Cup long weekend, and the CBD, East End, and inner-south fill with visitors who eat late and stay later. If you manage a café, bar, venue, or hotel, Mad March is when a “normal” roster fails.
This is an operations guide, not a tourism brochure.
What actually changes in the building
- Covers and door times shift later. A Tuesday that is dead in July can look like Friday in March.
- Casual availability dries up. The same pool is being booked by every venue on Hindley, Rundle, and the Garden.
- Public-holiday Monday (Cup Day, 9 March 2026) sits inside the busiest fortnight. Penalty rates and fatigue rules both bite.
- Transport and finish times slip. Last-light bump-outs and late trams mean you cannot roster a 06:00 open after a 02:00 close.
Build three roster layers, not one week
1. Core team (contracted / regular casuals)
Protect them. Cap clopens. Publish two weeks out so they can plan around school and other jobs.
2. Festival casuals
Invite a short list in January. Collect availability before you write March. Do not assume last year’s crew is free.
3. Open shifts / grab board
Leave 10–20% of weekend nights unassigned until 72 hours out. Fill from people who marked themselves available — not from whoever answers the group chat first.
ShiftRova’s shift grab and unavailability engine exist for this exact pattern: you publish the skeleton, staff claim what they can work, and you do not schedule someone who already blocked Friday night.
Cost the week before you publish
Festival weeks look profitable until Sunday penalty + Cup Day + overtime on tired casuals land in the timesheet. Before you hit publish:
- Set a labour budget for the location (covers or $).
- Check the roster labour bar against it.
- Move a midweek closer to a cheaper mix if Friday/Saturday are already loaded.
See how to cut labour cost % without cutting staff for the weekly habit.
Fatigue is a March problem, not a December one
The Fair Work rest-between-shifts rules do not pause for Fringe. A closer-then-opener across Cup weekend is how you lose a good barista in April. Use a 10-hour rest buffer as the default; only break it with a named manager override.
A simple Mad March timeline
| When | Do this |
|---|---|
| January | Confirm festival casuals, collect availability, enter Cup Day as a public holiday |
| Mid-February | Publish the first Fringe week; leave grab slots on peak nights |
| Cup week | Freeze the Monday roster early; no “we’ll see who shows up” |
| First week of April | Thank the core team, reset hours, and stop running March patterns on quiet Tuesdays |
If you are setting up an Adelaide venue for the first time, the Adelaide workforce page and hospitality product page walk through locations, roles, and rates.
