Hospitality rostering software Australia: a practical buying checklist

A polished demo is easy to follow when every employee is available and every shift ends on time. Your venue needs a harder test: a Friday close, a changed booking forecast, an unavailable supervisor and a timesheet correction before payroll.
Use the same sample week in every product you assess. That includes ShiftRova. The aim is to find a workflow your managers and bookkeeper can operate, with clear costs and clear limits.
Bring a small but realistic test pack
Use fictional employee names, sample rates and representative roles. Include a chef, barista, supervisor and casual floor team; add part-time availability, approved leave and one cross-venue worker if those are relevant. Do not upload real employee tax, bank or identity details just to compare software.
Prepare a weekly labour allowance and a simple coverage requirement for each service. The labour-budget worked example gives you a structure. Write down what “passes” before a salesperson shows you the result.
Test the five jobs that matter
| Job | Demonstration to request | Evidence to keep |
|---|---|---|
| Control labour costs | Add a weekend shift and change its duration | Cost before and after; which rates and on-costs are included |
| Roster faster | Build a week with leave, availability and role requirements | Conflicts surfaced and the manager's final approval step |
| Review time accurately | Clock in at the venue, miss a clock-out, then correct it | Exception workflow and who can edit or approve |
| Reduce payroll admin | Approve a sample period and hand it to the bookkeeper | Actual output file, employee mapping and pay-category checks |
| Support compliance checks | Review an overnight shift, breaks and a roster change | The rules configured, warnings shown and records retained |
“Has AI” is not a pass condition. Ask what the scheduler does when requirements cannot all be met. A visible unfilled role or conflict is more useful than a confident-looking roster that hides a problem. Review any generated roster before publishing.
Make payroll specific
“Integrates with payroll” can mean a downloadable reference file, an import file, a direct API connection or a complete payroll service. Ask which one you are seeing and whether it works with your exact product and country edition. Request a sample of the current output and test it with your bookkeeper.
Check a Sunday shift, a shift crossing midnight, a correction and a previously exported period. Decide how you will prevent duplicate processing. See our separate Xero handover guide and MYOB import checklist.
Compare the whole operating cost
Use the same team size, venue count and billing period in every quote. Record active and archived user treatment, minimum charges, onboarding, optional modules, support, cancellation terms and how easily you can export your records. A low headline seat price does not answer those questions.
Our Deputy alternative guide and Tanda alternative guide offer evaluation prompts. Confirm each vendor's current offer directly; these pages are not a claim that another product lacks a feature.
Run a one-venue pilot
Assign one manager and one payroll reviewer. Start with a sample period, then choose a controlled live period if the checks pass. Keep the existing payroll process authoritative until the reviewer has reconciled the results.
Score each job from 0 to 2: cannot complete, completes with manual work, or completes clearly. Give critical requirements a pass/fail gate regardless of total score. Record the extra steps as well as the time taken. A tool wins when the people using it can repeat the workflow, not when it wins the most feature ticks.
