Keep kitchen temperature records
Temperature Records is an optional Hospitality feature. Super Admin must grant its availability; an Organisation Admin then turns it on. It is off by default. Org Admins have access automatically when enabled; other staff need an assignment for each relevant location. A person can be assigned at several locations.
Enable and configure a location
- As Organisation Admin, open Settings → General and select Enable Temperature Records.
- Select Configure locations and staff, or open Manage → Temperature Records → Settings.
- Choose a location. Add named Temperature points such as Main cool room or Underbench fridge 1, then arrange their recording order with the arrows.
- Assign staff and arrange their responsibility order. Each location has its own list.
- Choose manual recordings, specific daily times, or every X hours starting at opening. Set the grace time before alerting and the delay before alerting the next person.
- Select Save location settings and wait for confirmation.
Schedules use opening hours from Settings → Locations and the organisation timezone. Closed days and times outside opening hours are skipped. Archive equipment to stop including it in new rounds. Changes apply to future rounds; confirmed and already-started rounds keep their original equipment details.
Understand the alerts
After the grace time, the first assigned person actually clocked in at that location receives the alert. Staff on break are skipped. If the round has not started within the escalation delay, the next eligible person is alerted. If nobody is eligible, an Org Admin is notified. Starting the round stops further reminders for that scheduled round. Alerts run about every five minutes and use in-app and supported push notifications; no email is sent.
Record temperatures
- Open Manage → Temperature Records, select the location and choose Record Temperatures.
- Read the named item, enter only its temperature in °C, and select Next. Continue through all points.
- Review the summary and correct a reading before confirming if necessary.
- Select Confirm. Wait for the green tick and Temperature Records Confirmed before the page returns to Dashboard.
The recorder and recording time to the nearest minute are saved automatically. An unfinished draft can be resumed. If another person's abandoned round blocks a location, an Org Admin can Release round with a reason; its unconfirmed readings remain in audit history.
Find and correct records
Assigned staff can view their permitted locations' records. Filter by date, weekday and time range; search staff or equipment and order by temperature. Only Org Admins can correct confirmed readings, with a reason. The original recorder and recording time remain preserved. The separate Audit Trail records settings, assignments, alerts, rounds and corrections.
If the activation box is missing, ask Super Admin to check Hospitality and Org Permissions. Industry Templates set feature availability for new Hospitality organisations but do not activate it. This log records the values you enter; it does not currently configure acceptable temperature ranges or automatically determine food-safety compliance.
