Keep team roles and shift skills separate
A team role groups people, for example Kitchen, Front of House or Shift Manager. A skill describes work, for example Dishes, Tills or Rostering. Skills never grant Manager or Admin permissions and are separate from verified Compliance or worker-screening evidence.
Manage and assign both lists
- Where this feature is enabled, open Manage → Roles & Skills.
- Use Team Roles to manage the team catalogue and assignments. Use Skills to create skills and assign them to people. Organisation Admins manage definitions; Managers can assign the existing definitions.
- Add or edit a shift and choose Skills for this shift. Several skills can be selected.
Existing assignments are retained when the lists are separated. The initial skill catalogue copies the old names to preserve existing shifts. Rename or add entries independently afterwards. A skill that is still used by a person, shift, template or coverage requirement cannot be deleted until those references are removed.
Filter and publish the roster
Role Filters keeps its team-role choices and groups people. All Shift Skills filters the skills attached to shifts. Publishing has its own shift-skill selection; the roster display filters do not change what is published. Timesheets can also be filtered by shift skill.
Plan minimum skill coverage
Open Skill Coverage in Roles & Skills. Select a skill, weekday, start and finish time and the minimum number of people. A red roster day means a requirement is not met; the red MINIMUM SKILLS link opens these settings. Assigned workers with the required skill on their shifts count towards coverage; open shifts and duplicate shifts for the same person do not supply extra people. Time windows must be covered throughout.
Auto-Schedule and the budget optimiser check every required shift skill alongside their availability, hours and other scheduling rules. Review shortages and warnings before publishing. Manual manager assignment retains its existing warnings and overrides; assigning a skill is not proof of a formal qualification.
